Hardcat Before After Labelled

MELBOURNE, August 23, 2016 – With the help of a new Stock Management module from Hardcat, Royal Melbourne Hospital (RMH) has completed a complete transformation in the way it procures, manages and stores spare parts used in the maintenance and repair of critical medical equipment used in clinical operations.

Cost efficiency, productivity benefits and improved medical outcomes abound for Victoria’s oldest hospital after implementing a new Stock Management module to its existing Hardcat asset management solution.

Extended functionality

According to Lakshmi Thiru, a Biomedical engineer in RMH’s Clinical Engineering Department (CED), the new Stock Management module from Hardcat has helped to extend the benefits provided by the Australian asset management software company’s existing solution rolled out in 2015.

“Implementing the Stock Management module has been the driver of a substantial transformation within our department,” Thiru said. “It has allowed us to better manage the spare parts we keep on hand and to monitor our usage of these parts.

“Through use of the image upload feature, we are now easily able to identify and locate the relevant spare parts we keep on hand when we need them.”

Stock Tipping points identified

Another useful function RMH has enabled through the Hardcat Stock Management module is the ability to set up alerts when minimum stock thresholds are breached.

“When the inventory of spares of a particular part held in stock drops below a certain number, we are automatically notified,” Thiru said. “We then use this function to generate a weekly stock re-order report to assist in placing orders and maintaining our stock of parts at a serviceable level.

“In addition, we are also now able to better analyse our usage of spare parts by creating customised reports from the data to highlight the most frequently used spare parts and strategically adjust our maximum and minimum levels for the part accordingly.”

“The Hardcat Stock Management module has significantly improved our processes for storing and managing our spare parts, effectively increasing our productivity within the department.”

The story so far …

  • Established in 1848, RMH is one of Victoria’s leading clinical and teaching hospitals with two city campuses which have a large array of critical medical equipment. RMH’s CED is trusted with ensuring that all this clinical equipment is maintained, tested and in a reliable working condition at all times.
  • RMH first implemented Hardcat to manage its CED inventory of over 10,000 individual assets.
  • “Our previous system was also unable to support department objectives to increase automation of work orders for scheduled maintenance.” - RMH CED Deputy and Quality Manager, Ms Nicola Donaldson.
  • Deficiencies in the old system had started to create unacceptable risks for RMH in governance, regulatory compliance and cost efficiency.
  • RMH CED selected a range of Hardcat tools to support the upgrade of its asset management processes.
  • The new ISO9001-accredited Hardcat system allows for CED to take a holistic or siloed view of assets groups or assets classes.
  • “We are able to better account for the large number of assets and directly email reports, generate work orders for programmed preventive maintenance, and prioritise how our resources are allocated. This has contributed to making the Department much more productive.” – RMH CED Director, Mr Jack Davie.
  • “Just about all of the risks that were inherent in the old in-house system have been mitigated through our implementation of Hardcat.” – RMH CED Director, Mr Jack Davie.
  • RMH now has an easy-to-use, intuitive solution which can identify any given asset’s location and repair status, at any time, by anyone in the department.
  • There have been significant time efficiencies generated by the use of handheld devices in the field which allow for repair procedures to be checked off in real time as well as reduced paperwork.
